Free timesheet templates
Choose a blank record for your work period. Excel calculates paid hours from clock times and unpaid break minutes. PDF and CSV files are manual worksheets. Every download is free and available without an account.
Weekly timesheet
Seven dated rows for one workweek. Enter a start date in Excel; print the PDF for a handwritten weekly record.
Biweekly timesheet
Fourteen consecutive days with a period total. A two-week pay period remains separate from any weekly overtime calculation.
Monthly timesheet
Excel creates the actual dates for your chosen year and month, including leap years. The two-page PDF has 31 day spaces; cross out unused dates.
Semi-monthly timesheet
Choose days 1–15 or 16 through month-end in Excel. Up to 16 rows cover the second half of a 31-day month; unused rows stay blank.
Printable employee time card
A simple seven-row record with room for a name, notes, total hours and a review signature. PDF entries and totals are handwritten.
How to use these files
- Choose the period and format below. Use Excel for automatic calculations or PDF for handwriting.
- Enter the employee or record name, the period, clock-in and clock-out times, and only unpaid break minutes.
- Review each daily total and the period total. Use the online calculator for multiple punches or configurable overtime.
Weekly means seven days; biweekly means fourteen consecutive days. Semi-monthly means twice per calendar month, here days 1–15 and 16 through month-end. It is not the same as a biweekly period.
One shift, three ways to record it
08:00–17:00 is nine elapsed hours. Deduct 60 unpaid break minutes to get 8:00 paid time, or 8.00 decimal hours. Enter the same facts in Excel, CSV or the printable form; only Excel calculates the result.
What the templates calculate
Excel subtracts total unpaid break minutes from each shift, then sums paid minutes. An end before its start means the next day; equal times mean zero hours. Use clock values from 00:00 to 23:59 and shifts shorter than 24 hours. The Check column flags incomplete times, invalid values and breaks longer than a shift; fix flagged rows before using the period total.
Only deduct breaks that are unpaid. Add multiple unpaid breaks together before entering their minutes. These files have one clock-in and clock-out pair per row; use the multiple in/out calculator for split shifts. Clock arithmetic does not adjust for daylight saving changes or time zones.
PDF and CSV files do not calculate automatically. CSV dates, daily hours and totals must be completed manually. Excel formulas show hours:minutes and decimal hours; displayed decimals round to two places while the period total uses exact whole minutes. No file assumes a wage or overtime rule, and a blank form does not guarantee compliance with every employer's recordkeeping obligations.
