Monthly timesheet template
Keep a full calendar month's daily entries in one workbook. Enter a year in B6 and a month number in D6: Excel supplies 28, 29, 30 or 31 valid dates. The printable PDF uses two pages with numbered day spaces instead of assuming every month has 31 days.
Monthly timesheet
Excel creates the actual dates for your chosen year and month, including leap years. The two-page PDF has 31 day spaces; cross out unused dates.
How to use these files
- In Excel, enter the year in B6 and a month from 1 to 12 in D6. Unused dates at the bottom stay blank.
- Enter clock times and whole unpaid break minutes only on valid dates. A time entered outside the selected month is flagged and blocks the total until corrected.
- For the PDF, write the month and year on both pages, cross out nonexistent dates, then add both page subtotals. CSV dates and calculations are manual.
A calendar month can begin or end inside an overtime workweek. This template does not split overtime or calculate pay. Retain adjacent-period records if you need to review complete workweeks under the rules that apply to you.
February and an overnight shift
February 2028 has 29 dates; February 2027 has 28. In either month, a 22:00–06:00 shift with a 30-minute unpaid break produces 7:30, or 7.50 decimal hours. The shift belongs to the date you record for its start.
What the templates calculate
Excel subtracts total unpaid break minutes from each shift, then sums paid minutes. An end before its start means the next day; equal times mean zero hours. Use clock values from 00:00 to 23:59 and shifts shorter than 24 hours. The Check column flags incomplete times, invalid values and breaks longer than a shift; fix flagged rows before using the period total.
Only deduct breaks that are unpaid. Add multiple unpaid breaks together before entering their minutes. These files have one clock-in and clock-out pair per row; use the multiple in/out calculator for split shifts. Clock arithmetic does not adjust for daylight saving changes or time zones.
PDF and CSV files do not calculate automatically. CSV dates, daily hours and totals must be completed manually. Excel formulas show hours:minutes and decimal hours; displayed decimals round to two places while the period total uses exact whole minutes. No file assumes a wage or overtime rule, and a blank form does not guarantee compliance with every employer's recordkeeping obligations.
